Hands-On Music Policies — Fall 2026

These policies are designed to keep parents, students, and instructors on the same page regarding Group Piano attendance, conduct, payments, and dismissal procedures. While these issues rarely arise, the following policies are in place to ensure consistency, fairness, and student safety.

Tuition & Payment

  • ◆Tuition is $300 per semester, with a $15 registration fee, covering all Group Piano sessions.
  • ◆Tuition and the registration fee are paid in full at registration.
  • ◆Sibling discount: $15 off the second (or additional) child.
  • ◆All payments are non-refundable once the semester has begun.
  • ◆3.5% convenience fee on all transactions (including credit cards, debit cards, PayPal, Stripe Link, Venmo, and bank transfers).

Paying over time

At checkout you may choose to pay with Klarna or Afterpay instead of a card. Those providers let you split the total into smaller payments on their own schedule; Hands-On Music is paid in full at registration either way.

Attendance & Missed Sessions

  • ◆No makeups or credits are provided if a student misses a Group Piano session for personal reasons (illness, appointments, travel, etc.).
  • ◆Makeup sessions will be provided if a session is canceled by the school due to inclement weather or school closure.
  • ◆Families will be notified if a weather-related makeup session is scheduled.

Materials & Equipment

As part of the Hands-On Music program, each new student will receive the following materials for use during the session:

  • ◆One keyboard
  • ◆One tote bag
  • ◆One Hands-On Music method book
  • ◆One pencil
  • ◆One set of crayons

In addition, families will receive access to the Hands-On Music online practice portal, which includes supplemental practice materials, recordings, videos, and other resources designed to support student learning at home. Access to the online portal is provided exclusively for enrolled Hands-On Music students and their immediate families. Sharing login credentials, downloadable materials, videos, recordings, or other program resources with individuals who are not currently enrolled in the program is strictly prohibited.

Southern Art Music retains all rights to its curriculum, books, recordings, videos, digital resources, and other program materials. Unauthorized reproduction, distribution, modification, sale, or sharing of any program materials is prohibited without prior written permission from Southern Art Music.

Students are expected to care for all materials and equipment provided to them. Families and students are responsible for any materials that are lost, stolen, or damaged beyond normal wear and tear.

If a keyboard is damaged due to misuse or negligence, or if a keyboard bag or method book is lost, a replacement materials fee will be assessed before a replacement item is issued. Replacement fees will be based on the current cost of the item being replaced.

Hands-On Music reserves the right to determine whether damage exceeds normal wear and tear and whether a replacement fee is required. All replacement fees must be paid prior to the distribution of replacement materials.

Student Conduct Expectations

Students are expected to extend their best classroom behavior to all Group Piano sessions. Hands-On Music strives to maintain a fun, structured, and fast-paced learning environment.

  • ◆If student behavior warrants three conduct emails in a row, the student will be asked to sit out of their next Group Piano session.
  • ◆Upon returning, the student will be placed on a three-strikes policy.
  • ◆After three strikes, the student will be removed from the Group Piano roster, with no refund for remaining sessions.

Parent Conduct

We value parent communication and support, as it is integral to student success!

  • ◆Parent communication should take place between 9:00 AM and 7:00 PM. (Email is welcome at any time.)
  • ◆Parents are expected to treat all instructors with respect, especially in front of students.
  • ◆Unacceptable parent behavior (such as yelling at an instructor in front of students, particularly on the campus of a partner school) will result in the immediate removal of the student from Group Piano.

Sharing Day

During the final class of each semester, Hands-On Music students will participate in Sharing Day, an informal performance for family and friends. This is an opportunity for students to celebrate their progress and share what they have learned throughout the semester in a fun, supportive environment.

To help Sharing Day run smoothly:

  • ◆Parents and guests should arrive at the halfway point of class.
  • ◆Due to limited classroom space, we ask that each student bring no more than two guests, whenever possible.
  • ◆Please remain respectful of all performers by silencing cell phones and minimizing movement during student performances.
  • ◆Photos and videos of your own child are welcome. We ask that families respect the privacy of other students and avoid posting images or videos that prominently feature other children without their parents' permission.
  • ◆Sharing Day is considered the final class of the semester. Students are expected to attend if possible, as it is an important part of celebrating their accomplishments.

We are proud of the hard work our students put in each week and look forward to celebrating their musical growth with you!

Dismissal Pass & Pickup Procedures

Each student will receive a physical dismissal pass on the first day of the program. The pass includes the student's name, the student's grade, and the parent/guardian name.

In addition, families will receive a fillable PDF version of the dismissal pass. You may use the physical pass, a photo of the pass on your phone, or the completed fillable PDF saved on your phone. All three options are accepted.

Pickup requirements

  • ◆Dismissal pass (physical copy, photo of the pass, or completed fillable PDF).
  • ◆Valid photo ID.
  • ◆Students will not be released without both the dismissal pass and proper identification.

Alternate pickup & transportation changes

  • ◆You must notify us in advance.
  • ◆You must notify the school as well.
  • ◆Please copy your school/teacher on any transportation-related email you send to us.
  • ◆The alternate pickup person must present a photo of the dismissal pass or the completed fillable PDF, plus their own valid photo ID.
  • ◆We cannot release a student to anyone without prior notice, a dismissal pass, and identification.

Students in an after-school program

If your student is enrolled in GASP or Right-At-School, they will be dismissed from Group Piano straight to that program.

Late pickups

Students must be picked up promptly at the scheduled end of the Group Piano session. To ensure the safety of all students and to respect our instructors' time, families are expected to arrive on time for dismissal.

  • ◆The first two late pickups (10 minutes after session end time) will serve as a courtesy warning.
  • ◆Beginning with the third late pickup, a $10 late pickup fee will be assessed for each occurrence.
  • ◆Repeated or excessive late pickups may result in a student's dismissal from Hands-On Music without a refund.

Thank you for your cooperation in helping us maintain a safe, consistent, and professional dismissal process for all Hands-On Music students.
